Renting The Clubhouse & Media Room

Dear Residents,

As we kick into the summer months, we wanted to send a quick reminder out about the proper way to reserve an amenity, and the rules and regulations in renting out these rooms.

How to Rent:

How to Rent – please login to your resident portal by visiting the community resident portal. Once logged in, mouse over 'My Community', then click 'Amenities.' Here you will find the rentable amenities for JDS. For each amenity, you enter your apartment, the date you would like to rent the room, and the time frame. Once submitted, someone from the leasing staff will send an approval confirmation.

Clubhouse Rules:

The clubroom and its facilities are available for residents only. The clubroom cannot be reserved by a resident for functions to be given by anyone but a resident. The resident must be present at all times as the hostess/host in charge of the function.

There is a $200.00 rental fee required to be paid when the clubroom is reserved and a $500.00 damage deposit to be paid on the day the clubroom is used. The damage deposit is refundable as long as all rules are abided by. Clubroom reservations are made through the resident portal.

  • The clubroom is available for functions 24/7 Monday through Sunday in 6 hour increments.
  • Party reservations are limited to the clubroom only and DO NOT include the pool or pool area.
  • Persons under 18 years of age must be supervised by an adult.
  • The clubroom and its facilities including the parking lot shall be clean before turning in keys.
  • Please advise guests not to park under carports.
  • The resident agrees that any damages to the clubroom, contents, or its facilities will be the residents responsibility and that the resident will pay for replacement or repair costs. If repair or replacement exceeds the $500.00 damage deposit, the resident agrees to pay the excess within 24 hours of notification.
  • The resident and guests must comply with the rules and regulations and the resident agrees that the conduct of him/her self and guests shall not be disorderly, boisterous, or unlawful and shall not disturb the rights and comforts or conveniences of other residents.
  • This is a NON-smoking building. Smoking is only permitted outside.
  • Do not move furniture without prior permission. In addition, stereos are not permitted outside the clubroom.
  • Do not move the pool table. If pool table is moved the clubroom deposit shall be automatically forfeited.
  • If noise from a resident’s party prompts a complaint where patrol service is called out to the Community, the clubroom deposit shall be automatically forfeited and the party will be shut down immediately.
  • Prior permission must be received from the management before alcohol may be served. Alcohol may only be served by a licensed bartender hired by the resident. A copy of the license must be on file.
  • Items belonging to management left in the cabinets or refrigerator are not to be disturbed or used by the resident or guests.
  • Management reserves the right to patrol the party at any time to observe compliance of the above policies.

CLEANING

  • Floors must be swept and mopped as necessary. Do not use anything but a damp mop on the floors. No excessive water or chemicals of any kind are to be put on the floor. Charge = $___20___
  • Counter tops and sinks cleaned. Charge = $___20___
  • All trash containers emptied. Charge = $___25 per bag__
  • The entrance ways to the clubroom, surrounding porch, and parking lot areas must be free of all trash, cups, cans and cigarette butts. Charge = $___20___
  • If fireplace is used, fire must be completely out before leaving the clubroom.
  • Kitchen appliances must be cleaned. Charge = $___20___
  • Full Clubroom Clean. Charge= $___300__
  • Carpet Clean Area Rug in Great Room Charge= $ __100_____
  • Other damage charges will be determined upon inspection the following day.

Optional Charges:

  • Extra Chairs and Table Rental Charge= $ __25_____

Media Center Rules:

  • The Resident accepts full responsibility for actions of the user and their invitees and for any damage to the lobby, lounge, or any other amenity areas and contents shown to have been caused by themselves or guests.
  • Resident agrees to pay, in full, the amount of such damage, as stated above.
  • Usage us limited to Resident and guests and the Resident agrees to be present at the event during all agreed upon times.
  • The Resident agrees to the following occupancy limits of the facility during their function: limit of 10
  • Volume of any music or entertainment must be reduced so as not to be heard outside the facility or on other floors.
  • Smoking is NOT permitted anywhere in the building
  • The Resident agrees that nothing may be put in or on the walls. Staple guns, hot glue, nails, glitter, etc. are not to be used as decorations (Fees can and will be assessed with failure to comply).
  • All media room furniture must be moved back to its original locations or a nominal fee will be assessed. The rented space must be cleaned immediately after use. Cleaning Charges will be assessed for the space not being returned in the condition received.
  • Media room key FOB must be returned to the rent dropbox immediately after your rental time has expired. Failure to do so will result in a fine in the amount of $50 for the first day, and $5 for each additional day the key FOB is not returned.
  • In the case of the key FOB being misplaced, a replacement fee will be assessed in the amount of $100.

Before You Turn In Your Keys

Please make sure you clean up and leave the room you reserve in the condition it was in before you rented it. All furniture must be returned to original location, trash taken out, messes cleaned up, personal items and food removed, etc. When you are finished, drop your key in the rent drop box next to the leasing office.
